Frequently asked questions

It's the first time we are organizing a virtual conference, and we have collected answers to some frequently asked questions below.

​​​​​​​​​​​​How is the ASC structured?

ASC 2021 is a virtual conference, hosted on an application called Whova. Whova can be downloaded as a smartphone app or accessed as a web app on your computer.

All registered ASC participants will gain access to the ASC on Whova from 23 August. All pre-recorded oral presentations and poster presentations will be available to view on Whova from 23 August–30 September.

The live sessions on Whova will take place from 6–10 September. View the conference programme.

How do I participate? 

To participate in the conference, you need to register and pay a 25 Euro registration fee. This gives you access to our conference app from 23 August–30 September, including the live online sessions 6–10 September.

You can watch 225 presentations and 74 poster presentations on Whova from 23 August. Posters and presentations are sorted into 18 theme sessions. 

During the live sessions, there will be Q&A sessions, opportunities to chat to the theme session conveners and participate in stimulating discussions, as well as networking events.

Is there a deadline to register for the ASC? 

There is no deadline, you can register anytime.

Do I need to download any specific software to participate? 

You need to use the Whova application to participate in the ASC. You can download the Whova app on your smartphone, but it is also available as a web app which you can access on your computer.

How do I access live sessions? 

The live sessions take place from 15:00–20:00 CEST (Central European Summer Time) during 6-10 September, and you can access them via the conference app Whova. 

Will I be able to interact with the presenters during the live sessions? 

There will be Q&A sessions during the live theme sessions where you can ask conveners and authors questions via Whova's Q&A function.

If you are a presenter, you may be invited by the conveners to participate in these discussions.

You will also be able to send questions directly to presentation and poster authors in Whova prior to the live sessions.

​How can I view the pre-recorded presentations and posters? 

The pre-recorded presentations and posters are available to view on Whova at any time from 23 August–30 September.

To watch a presentation, click Agenda on the left hand menu on the ASC home page on Whova, then select the relevant theme session, and all presentations in that session will be listed. Alternatively, you can click attendees, search the author, and find their presentation under the author name.

Posters are all available under Agenda/Posters, where you can filter the poster by theme session, or search for the author, keywords or title.

How long will the presentations and recordings of live sessions be available to view? 

  • Pre-recorded presentations and posters will be available to view through the Whova application from 23 August–30 September 
  • Recordings of the live sessions will be available from 13 September–30 September 
  • Abstracts of oral and poster presentations will also be made available on ICES website

What do I need to do as a presenter (either poster or oral presentation)?

You have already submitted your poster or the recording of your oral presentation, which will be available on the Whova application from 23 August. Keep an eye on the Chat/Q&A function of the application as participants and conveners may contact you with questions or discussion topics.

Please make sure you participate in the live session for your theme session, where you may be asked to answer questions or participate in discussions.

Can I update my profile information on Whova?

Yes, it's a good idea to update your profile on Whova with a photo, your bio, publications, and interests. This will facilitate networking opportunities and allow you to connect with ICES community.
